Description:

We employ four office assistants during the Fall and Spring Semesters; the option of summer work is available. While each of our student office assistants have specific assigned focuses and tasks (see below), our assistants function as a team and help each other as needed. Assistants also take an active role in weekly meetings and contribute ideas to projects and task. Individual assistant responsibilities are listed below.

Finance & Data Entry

  • Preparing reports.
  • Data entry
  • Primary care of email
  • Answering phones
  • Greeting visitors, notifying office staff when individuals arrive for meetings, etc.
  • Assisting our departments and their administrative assistants as needed.
  • Assisting with financial record keeping
  • Assisting with college correspondence.
  • Other duties as assigned

Events & Social Media

  • Updating content calendars and webpages.
  • Helping plan and execute a variety of events.
  • FTC, PREP, YEA, Field trips,
  • College level events, Award Ceremony, commencement, IAB dinner
  • Assisting with marketing strategy and execution.
  • Marketing (college brochures, etc) - the visual stuff for the public
  • Other duties as assigned

FTC Coordinator (September - March)

  • Contact FIRST Tech Challenge (FTC) teams
  • Work with FTC Utah Board (attend meetings)
  • Stay up-to-date on FTC season changes
  • Publicize events
  • Help with volunteer recruitment
  • Create the championship program
  • Answer emails, return phone calls
  • Other duties as assigned

Qualifications:

  • Reliable, responsible and detail-oriented.
  • Willingness to learn.
  • Be a team player.
  • Have customer service skills and a pleasant demeanor.
  • Be proficient in Microsoft Word/Excel and/or Google Docs/Sheets as well as Gmail.
  • Ability to multitask and manage time efficiently.
  • Be a self-starter.
  • Able to handle confidential information in a professional manner.
  • Experience making basic updates to websites is preferred.
  • Previous work experience in an office is preferred.
